The machines move. The claim still has to hold up

Outsourced warranty administration for construction equipment dealerships and mixed rental fleets — excavators, skid steers, compact track loaders. The paperwork is the same as agriculture; what differs is that the machine has changed sites, contracts, and sometimes owners since it was sold.

The problem

Why claims leak in construction equipment

Construction claims rarely fail on eligibility. They fail on identity and history: the serial on the repair order came off the invoice rather than the machine, the meter reading is the one from the last service rather than the one at failure, or the unit went out on rent and the registration was never updated to match where it actually is.

Rental complicates it further. A machine that spends its first year on rent accrues hours fast and changes hands quietly, and the documentation trail that a manufacturer wants to see is spread across a rental contract, a delivery ticket, and a service record that were never meant to be read together.

Nearly all of this is fixable at the repair order, before anything is submitted. It is not difficult work. It is just work that a service department running a full board does not get to before the window closes.

Where a unit has moved between contracts or owners, we put the documentation in an order the manufacturer can follow, rather than leaving the approver to reconcile it.

We take the denial code, work out what it actually objected to, rebuild the documentation, and resubmit within programme rules. Most of what gets denied is a documentation problem, not an eligibility problem.

Multiple manufacturers across one service department is normal here. We work to each programme in turn, and you keep one point of contact rather than one per brand.

What it costs

Published rates, and a way in that costs nothing

Your first five claims cost you nothing unless we recover.

You pay a percentage of what actually comes back, and nothing at all if nothing comes back. No monthly rate until you have seen the work.

Ongoing administration runs from $900 a month for up to 20 claims to $2,900 for up to 100, priced on claim volume rather than store count, with machine registration included at every tier. Denied and out-of-window claims are worked on contingency at 20% of what is actually recovered. Every rate is published, because we have no client references yet and you should be able to work out what we cost before you speak to us.

We run mixed brands. Is that a problem?

No. A construction service department carrying three or four manufacturer programmes is the normal case, not the exception. Each programme has its own portal, its own documentation expectations, and its own submission process; working to each of them in turn is the job. You keep one point of contact on our side rather than one per brand.

How do you handle machines that have been on rent?

By assembling the history before the claim is written rather than after it is questioned. Rental units change sites, contracts, and hour readings quickly, and the trail a manufacturer wants to see usually sits across a rental contract, a delivery ticket, and a service record that were never filed together. We put them in one order the approver can follow.

Do you need access to our OEM dealer portal?

No. We do not ask for your portal credentials and we do not hold them. We prepare the claim from the repair order and supporting documentation you send us, and the submission is made through a screen-sharing session on your own machine, with your staff present and your login. Your dealer agreement almost certainly restricts credential sharing, and this is how we work so the question never arises.
