Building an evidence package an approver cannot query

The objective of a claim file is narrow and worth stating precisely: leave the person approving it with nothing to ask. Every question they have to ask is a delay, and every delay is a chance for the claim to be reduced or refused.

In short

Assemble the file so a stranger could reach your conclusion from it alone. Anything you are supplying from memory is a gap the approver will find.

Identify the causal part, not the parts list

A repair replaces several parts. A warranty claim is a statement about which one failed and caused the rest. Those are different claims, and a file that lists what was fitted without saying what caused the failure has asked the approver to work it out.

This is the single highest-value line in the file. When a claim covering a large repair is queried, it is usually queried here.

Photograph the failure before the part leaves

A failed component becomes unphotographable the moment it goes in the scrap bin, and that usually happens the same day. The photograph costs a technician thirty seconds while the part is in their hand, and it cannot be recreated at any price afterwards.

Photograph the failure itself, not just the part — the fracture, the wear pattern, the contamination. A picture of a clean component tells the approver nothing they did not already know.

Not the reading at last service, not the one on the delivery record. The reading at failure, taken off the machine while it is in front of you. This is a field that gets filled in from memory more often than anyone admits, and a meter reading that does not fit the service history is a reason to look harder at everything else in the file.

Invoices carry transcription errors, and units get swapped between order and delivery more often than paperwork reflects. A serial verified against the plate on the machine takes a minute and removes an entire category of denial.

This matters most on equipment that moves — rental fleets, resold units, anything that has changed sites or owners since it was sold.

A jobcard trail that connects everything

The complaint, the cause, and the correction, written so somebody who was not there can follow them. Technicians write for other technicians; a warranty file is read by an approver who is neither in your shop nor in your trade, and the gap between those two audiences is where good repairs turn into queried claims.

The test to apply before submitting: could a stranger read this file and independently reach the conclusion you are asking the manufacturer to reach? If not, something in it is being supplied by your own knowledge rather than by the file.
