What outsourced warranty administration costs

We publish our rates in full, which is unusual in this market and is a deliberate substitute for the client references we do not yet have.

In short

Ask any provider to publish their rates and to price a backlog on contingency. Both answers tell you what their pricing model incentivises.

The three pricing models

Monthly, priced on claim volume. A fixed fee for a band of claims per month. Predictable, and it suits ongoing administration where the volume is reasonably known.

Contingency, priced on what is recovered. A share of money actually returned, and nothing if nothing is. This is the sensible model for denied and unfiled backlogs, because the provider is asserting the money is recoverable and should carry the risk of being wrong.

Hourly. Common, and the model with the worst incentives — you are paying for time spent on claims regardless of whether they pay, including the ones a good administrator would have told you were dead.

What we charge

Ongoing administration runs from $900 a month for up to 20 claims to $2,900 a month for up to 100, priced on claim volume rather than store count, with machine registration included at every tier. No setup fee, no minimum term.

Denied and out-of-window claims are worked on contingency at 20% of what is actually recovered, with no fee if nothing comes back and no charge for looking.

Every band is published on our pricing page. You should be able to work out what we cost before you speak to us, and if the arithmetic does not clear we would rather you established that from a web page than from a call.

How to check whether it clears

Two numbers, both of which you can get from your own records. First, how much you currently recover in a year. Second, how much sits in claims you never filed or wrote off after a denial.

The second number is the one that decides it, and it is the one nobody has to hand — which is why we suggest starting with a contingency-priced backlog. It converts an estimate into a result at no cost, and it answers the question in your numbers rather than ours.

If your volume is low enough that the monthly rate does not clear, that is a real answer and we will give it to you on the call.
